Before & after · example

What changes
for the person doing the work?

Today: Staff search through email attachments and several spreadsheets to find the latest record.

With the implementation: A person submits one form. The record has an owner, a status and a history the relevant team can see.

Deliverables to agree in the scope

  • A map of current records, users and systems
  • Configured forms, records and access roles
  • A migration plan and checks for agreed data
  • User guides, training and a named support route

Your first pilot

Start with one process.
Test it with your team.

Choose one record type—an employee, an enquiry or a work request—and agree the fields, access and handover before migrating more.

Implementation to support

Map it. Build it.
Train the people using it.

Review the outputs with your team at each stage.

  1. 01

    Diagnose

Walk through one task with the people doing it. List the systems, records, handoffs and delays; check what data is available.

  2. 02

    Design

Draw the proposed process. Decide which product to configure, which systems to connect and which steps need automation or AI.

  3. 03

    Implement

Configure the agreed product, import the agreed records and build the connections. Run normal tasks and exception cases with the process owner.

  4. 04

    Train

Practise the actual tasks with users: submit a request, approve it, check an AI draft and handle an exception. Prepare the people administering the system.

  5. 05

    Support

Agree who monitors the system and handles incidents. Review failed runs, user feedback and the measures chosen at diagnosis.

Questions

Before you get started.

Answers about scope, setup and handover.

Describe one task that causes delays or repeated work. List the tools involved and show a non-confidential example of the form, request or document.

Run representative tasks and exception cases with the process owner. Compare the results with the acceptance criteria agreed in the scope.

The handover defines your process owner, system administrator and support route. We agree incident responsibilities and ongoing support before rollout.

Choose a task.
Discuss your first pilot.

Tell us one task, the tools involved and where it gets delayed. We’ll review the starting point with you.
